Safe Email Practices

1. Protect Your Password

  1. Never Share Your Password:

    • Do not share your password with anyone under any circumstances.
  2. Create a Strong Password:

    • Use a password that is:
      • 12-15 characters long.
      • Includes uppercase and lowercase letters, numbers, and symbols.
  3. Use Unique Passwords for Different Accounts:

    • Avoid reusing passwords across multiple accounts (e.g., bank, online shopping, etc.).
  4. Enable Two-Tier Authentication (if available):

    • This adds an extra layer of security by requiring a second form of authentication.

2. Maintain Email Security

  1. Lock Your Computer:

    • Always lock your computer if you step away to prevent unauthorized access.
  2. Log Out Completely:

    • Fully log out of web-based email accounts when finished using them.
  3. Use Separate Accounts:

    • Keep a separate email account for personal use to prevent cross-contamination with your work or official account.

3. Handle Emails Cautiously

  1. Avoid Clicking on Suspicious Links or Attachments:

    • Do not open links or attachments from unknown senders.
    • If something looks suspicious, contact the OIT Security Coordinator for advice.
  2. Verify Known Senders:

    • If an email from a known sender looks unusual, verify with the sender before interacting with the email.
  3. Use 'Throwaway' Email Accounts for Non-Critical Sites:

    • When registering on websites or posting online, use an email you don't mind deleting if necessary.

4. Security Best Practices

  1. Keep Software Updated:

    • Regularly update your operating system, browser, and antivirus software to prevent vulnerabilities.
  2. Do Not Share Sensitive Information:

    • Never share sensitive data like credit card numbers or Social Security numbers via email.
  3. Use Secure Internet Connections:

    • Avoid using public Wi-Fi when accessing your email; instead, use a secure connection.
